Rules For Email

email

These days, our email inboxes are always full of messages that want our attention. Not many emails get read, but if you use the right tactics, you can make sure that yours are not only opened but also read and acted upon. To make your emails stand out, follow these rules:

Don’t Use A Generic Email Address

Using a custom domain in your email address, such as [email protected] rather than Gmail, Yahoo, or Hotmail, is essential for establishing a professional and credible online presence.

  • Professional Appearance: A custom domain reflects your brand’s identity and presents a polished, professional image.
  • Credibility and Trust: Recipients are more likely to trust emails from a custom domain, perceiving your business as legitimate and established.
  • Brand Consistency: Custom domains allow for consistent branding across all communications, reinforcing your business identity.
  • Avoids Skepticism: Generic email addresses from providers like Gmail or Yahoo can make your communications seem less professional and raise doubts about authenticity.
  • Enhanced Security: Custom domains provide better control over your email accounts, enhancing security and making it easier to manage and protect your business communications.

Craft a Compelling Subject Line

The subject line is your first impression, so make it count. It should be:

  • Concise and Clear: Aim for 6-10 words. Avoid jargon and ensure it directly relates to the content.
  • Personalized: Use the recipient’s name or reference something specific to them.
  • Enticing: Create curiosity or a sense of urgency, but avoid clickbait tactics.

Be Concise

Time is precious and attention spans are short. Long, rambling emails are often skipped. Get to the point quickly:

  • Use Short Paragraphs: Keep paragraphs to 2-3 sentences.
  • Bullet Points: Break down information into digestible chunks.
  • Clear Call to Action (CTA): Make it obvious what you want the reader to do next.

Use a Professional and Friendly Tone

Strike the right balance between professionalism and friendliness. Avoid overly formal language that can feel distant or impersonal:

  • Conversational Language: Write as if you are speaking directly to the reader.
  • Warmth and Personality: Let your brand’s personality shine through in the tone and style.

Don’t wait to answer an email.

  • Respond within a day or two
  • If you need to get information, tell them you need to check and tell them when you will respond.

Standing out in a crowded inbox is challenging, but not impossible. By following these rules, you can create emails that not only capture attention but also build lasting relationships with your audience. Remember, it’s all about providing value, being genuine, and constantly improving your approach.
